Window Sticker

Definition: A printed information sheet attached to a vehicle's window that lists the asking price, specifications, standard features, and dealership contact information — required by law or best practice at most dealerships.

What a window sticker contains

A dealer window sticker typically includes: the vehicle's year, make, model, and trim; engine, transmission, and drivetrain details; mileage; condition; asking price with applicable disclaimers; standard features and any optional equipment; safety certification status; and the dealer's name, address, and contact information.

On new vehicles, the factory window sticker (called a Monroney label in the US) is required by law and lists MSRP, standard equipment, optional packages, fuel economy, and final pricing. On used vehicles, the window sticker is produced by the dealer and should match the vehicle's current inventory record.

Why window stickers matter at a dealership

A well-prepared window sticker does several things for a dealer: it reduces the need for staff to answer repetitive questions about a vehicle (buyers walking the lot can read the sticker themselves), it projects professionalism and organization, and it reduces pricing disputes because the price is clearly displayed on the car.

In provinces where dealers are required to disclose certain information at the point of display (not just at the deal table), a proper window sticker is part of compliance. Even where not legally required, it is a best practice that reduces friction in the early stages of buyer interest.

Generating window stickers with a DMS

A modern dealer management system generates window stickers automatically from the vehicle's inventory record. Because the vehicle's specs were entered via VIN decoding, the sticker is accurate and complete. Changing the price in the inventory record means regenerating the sticker takes one click — no manual re-entry.

Generated stickers are PDF files ready to print on standard paper. They can also be saved digitally for inclusion in listing emails or digital vehicle presentations to buyers.

Common questions

Is a window sticker required by law on used cars in Canada?

Requirements vary by province. Ontario's MVDA requires specific disclosures at the point of sale but does not mandate a specific window sticker format. Most provincial dealer associations recommend window stickers as a best practice, and many dealers use them proactively for professionalism and compliance.

Can I create a window sticker without DMS software?

Yes — using Word, Excel, or Canva templates. But manually creating stickers is slow, error-prone (especially when prices change), and inconsistent. A DMS generates accurate, branded stickers in one click directly from your inventory data.
